AGENDA for AUGUST 31, 2018 • Call to Order Mark Barker, Commission Chairman Agenda for September 6, 2018 The Town of Woodbury is accepting sealed bids for concrete driveway. Bid packets may be obtained in person at Woodbury Town Hall, by email, or by fax. Sealed bids must be received before 10AM, September 4, 2018. At 10AM September 4, 2018 sealed bids will be opened and winning bid will be awarded. The Town of Woodbury reserves the right to refuse any or all bids. Certified auditors are cordially invited to bid on auditing Cafeteria Funds limited to U.S.D.A. Procedures and Activity Funds for the Cannon County School System for the School Year ending June 30, 2019. Our cafeterias are centralized. We have six elementary schools and one high school in our system. We will need 15 copies of the audit report. We use the standard State Audit Contract. The audit shall begin on July 15, 2019, and the auditor's report shall be filed by September 30, 2019. The schools should have their books back prior to the beginning of the school term it at all possible. Cafeteria counts should be completed the last part of April or early May. Bids will be opened on September 6, 2018 at 1:30 PM at the Central Office, 301 W. Main Street, Woodbury, TN 37190. Your bid should be received no later than September 6, 2018 by 1:30 PM to be considered. Please mark on the outside of your sealed envelope in bold letters, AUDIT BID. Bids for Items 1 and 2 should be per school. This purchase will be funded by the Safe School grant proceeds. Bids will be opened at 1 PM on September 4, 2018 at the Central Office located at 301 W. Main St., Woodbury, TN. The bids will be considered at the board meeting on September 13, 2018, which will take place at 6:30 PM in the cafeteria at Woodbury Grammar School. The board reserves the right to reject any and all bids. Item #1: Grade one Intruder lever locks and installation for classroom doors at each of the county's seven schools. Locks must be able to be locked by a key on both the inside and outside of the door with 2 keys per lock. Locks must be master keyed on a unique system for each location with stamped keys. Each school is set up to its own unique master key system. Work is to be done on a building by building basis as grant money allows. This job also requires that all key cutting data, including key bittings, pinning information, and actual bittings used on each specific lock must be provided in detail and be clear and easy to understand. Each stamped key must be easily recognizable on this data to insure ease of future servicing. All master key charts must be easily expandable in the event rekeying or expansion of the system becomes necessary. Item #2: Video/Audio door station and access for each of the county's seven schools' security vestibule entrances using existing security hardware if able. Each building will have an Audio/Video Door Station outside and a Master Audio/Video Station inside at the Main Desk. The Master Station will be capable of unlocking One of the Entrance Doors. Work will be done on a building by building basis as grant money allows. The Audio/Video System must be capable of future Integration with other systems, including Shooter Detection Systems, Lock-Down Systems, etc. The system capacity must be able to scale up to hundreds of stations, and be addressable to offsite locations. All locations will be wired in a neat, similar manner, with conduit outside, and conduit or wire mold inside. Stations must be easy to reach, audible and visible when standing or sitting in a normal manner. Below are additional specs for the Audio/Video System. 1 SYSTEM DESCRIPTION Item #3: Electronic Visitor Management System. Must include capabilities to perform an on-site sex offender look up from national sex offender database, create visitor badges, and create an electronic record of visitors that enter school buildings. Training and installation per school should be included in the bid. Item #4: Motorized Cantilever Slide gate with dual height access control, automatic exit device (loop) with photo beam for Cannon County High School.
